Strategies for effective communication between paraplanners and advisers

Paraplanners play a central role in keeping protection cases clear, accurate and moving forward. When communication between paraplanners and advisers is weak, the impact shows up quickly in delays, avoidable rework, underwriting problems and files that are harder to stand over. But when both sides communicate clearly and work proactively, the whole advice process becomes simpler. In protection, where the detail matters and the stakes are often high for the client, good communication is not just helpful – it is part of delivering good outcomes.
Protection insurance depends on getting the detail right from the start. Life cover, Critical Illness and Income Protection all rely on a clear understanding of what the client needs to protect, what information has been gathered and where the risks or gaps might be. That gives paraplanners a real opportunity to add value. By asking the right questions, spotting missing detail early and keeping communication simple, paraplanners can improve both the quality of the recommendation and the efficiency of the process.

1. Be clear on your role in the case
One of the most useful things paraplanners can do is be clear on where they add value and where they need more information from the adviser. In protection cases, that often means taking ownership of research, comparisons, documentation and suitability support, while making sure the client need has been captured properly before work begins. If something is unclear, it is better to challenge it early than work around it. That keeps responsibilities clear and reduces the chance of important detail being missed.
2. Push for better briefs and handoffs
A paraplanner can only work with what they are given, so one of the biggest improvements often comes from raising the standard of the brief. If the handoff is too light, ask for more. In protection, that means checking the client’s objective, relevant personal details, budget, timing and any likely underwriting issues are all clear. A better brief saves time later, helps reduce rework and makes it easier to produce support that is genuinely useful to the adviser. For advisers, the practical point is simple: the more complete the brief, the faster the case can move. A strong handoff should make it easy to see what the client wants to protect, what information has already been gathered, what is still missing and how urgent the case really is.
For example, an adviser may hand over a Family Income Benefit case without confirming the client’s monthly expenditure, existing death-in-service benefits or whether there is already life cover in place through another provider. The paraplanner then has to stop and go back for missing details before they can sense-check the level of cover or document the recommendation properly. In practice, small gaps like these often create the biggest delays.
There is also a point here for advisers. Good communication means making space for challenge. If a paraplanner questions the rationale, the product choice or the suitability of a recommendation, that should not be seen as pushback. It is part of quality control and part of getting the advice right. For advisers, that means being open to challenge, explaining the reasoning behind the recommendation clearly and treating questions as part of a stronger advice process rather than a blocker.
3. Keep communication regular and practical
Paraplanners can help cases move more smoothly by keeping communication regular and easy to act on. That might mean quick updates on progress, clear questions when something is missing or a short conversation when a case becomes more complex. Protection work often involves underwriting queries, exclusions or alternative terms, and those points are easier to handle when raised early. The aim is not more communication for the sake of it. It is better communication at the right time.
Advisers can make this easier by being clear about deadlines, urgency and what is genuinely fixed. Clear deadlines matter. So does being realistic about what can be done in the time available. That helps paraplanners prioritise properly and push back early where timeframes are unrealistic.
A common example is a case being marked as urgent late in the day, with no clear explanation of whether there is a mortgage deadline, a provider cut-off or simply a preference to move quickly. Without that context, the paraplanner is left to guess the priority and manage the pressure. Clear expectations at the start make decisions easier and reduce unnecessary stress on both sides.

Paraplanners are often the people best placed to spot when the rationale is not yet clear enough. In protection, that matters because recommendations need to reflect what the client actually wants to protect and why. A good habit is to sense-check whether the objectives are specific, whether the recommendation follows logically and whether the wording is easy to understand. That helps create files that are stronger, clearer and easier for advisers to explain with confidence.
Advisers can support that by being more precise about the client’s real objective. If the handover only says that the client wants protection, the paraplanner is left to fill in the gaps. If the client objective is vague, the recommendation will usually be harder to evidence. If it explains what the client is trying to protect, why now matters and what trade-offs are acceptable, the case is much easier to evidence well.
For example, if an adviser says a client needs Income Protection but does not explain whether the priority is covering mortgage payments, protecting family lifestyle or supporting self-employed earnings, the recommendation can easily become too generic. The paraplanner may be able to draft something workable, but it will be harder to make the reasoning feel clear and personal to the client.
5. Use systems to support clarity, not replace it
Templates, CRMs and underwriting tools can all help paraplanners work more consistently, but only if the information going into them is clear. One of the most practical things paraplanners can do is use those systems to bring structure to the case, not to hide uncertainty. If something does not make sense, the answer is not to move it along. It is to stop, clarify and make sure the record is strong before the case progresses.
6. Use feedback to improve the process
Paraplanners also have a valuable role in improving the process over time. When cases come back with avoidable issues, it is worth asking why. Was the brief too thin? Was evidence missing? Was the wording unclear? Raising those patterns constructively helps improve the way advisers and paraplanners work together. Small changes in process and communication can lead to much stronger protection outcomes over time.
Advisers have a role here too by giving clear feedback, being honest about what could have been handled better and agreeing simple changes for next time can make future handovers smoother and reduce repeat issues.
